Privacy notice
This notice explains what PresentSmart collects, why, who processes it for us, and how long it is kept. We do not sell personal data.
What we collect
- Account: your email address, a one-way hash of your password (never the password itself), your plan, credit balance and usage records.
- Your content: the documents, slides, text, images and links you submit, and the decks and documents generated from them.
- Online exams: for each student who takes an exam: the name and optional student ID they enter, their answers, score, time taken and the number of times they left the page or pasted text, which teachers see as integrity flags.
- Wish walls: the names and messages contributors write.
- Online programme pages: what the host puts on the page (names, date, venue, photos, seating list, contact), and for each guest who replies: their name, attendance, number of guests, and the optional contact and message they enter.
- Voice features (only if you use them): the voice samples and consent recording you upload.
- Payments: handled by Stripe. We never receive your full card number; we keep the Stripe customer and subscription identifiers and the plan you bought.
- Technical: IP address and request logs used for security and rate limiting, and cookies for your session, language, currency and cookie choices.
Why we use it
To provide the service you ask for, to bill paid plans, to keep accounts secure and prevent abuse, and to answer support requests. Anything beyond that, such as product analytics, is off unless you turn it on in Privacy & consent.
Who processes it for us
- OpenAI and Google (Gemini): generate text and images from the content you submit.
- ElevenLabs: narration and voice features, only when you use them.
- Supadata: fetches YouTube transcripts, only when you paste a YouTube link.
- Stripe: payments and invoices.
- Our email provider: account, password and billing emails.
- Our hosting and database providers, and Sentry for error reports.
How long we keep it
- Generated files waiting for download: about 24 hours.
- Saved decks: 7 days on the free plan, 30 on Basic, 90 on Pro and 180 on Team and Institution, unless you choose to keep one permanently.
- Exams and marks: until the teacher deletes the exam. Closing an exam stops new answers; it does not delete marks.
- Online programme pages: the full page stays public until about 6 months after the event unless the host keeps it longer; then only its title and date remain, and its photos, seating list and contact details are deleted. Guests' replies are deleted 12 months after the event. A host can delete the page and its replies at any time.
- Your account: until you delete it. Billing records are kept as long as tax law requires.
Your rights
You can download your data (export), correct it, or delete your account at any time from your account, or by writing to support@presentsmart.app. Institutions using PresentSmart for students can read our data processing agreement.
